Rules and Guidelines for Using Our Services

Before booking any trekking, mountaineering, or adventure services with Summit Solution Treks & Expedition Pvt. Ltd., we strongly encourage all clients to carefully read and understand these Terms and Conditions. Participating in high-altitude trekking, expeditions, and adventure activities in Nepal or other regions involves inherent risks, and our policies are designed to ensure safety, transparency, and mutual understanding.

1. Booking and Payment Policy 

  • Clients are encouraged to book trips at least three months in advance to allow sufficient time for permits, logistics, and personalized planning. 
  • A 30% deposit of the total trip cost is required to secure your reservation. This covers hotel bookings, permits, guide and porter arrangements, and other operational expenses. 
  • An additional 30% payment is due one month before departure, and the remaining 40% must be paid prior to your arrival in Nepal. 
  • Late bookings may be accepted up to 10 days before departure, subject to availability and possible additional charges. Certain expeditions may not allow late bookings. 

2. Cancellation Policy 

We understand plans may change. To fairly manage operational costs, our cancellation fees are as follows: 

  • 45+ days before departure: 30% of total trip cost retained; remaining refundable or credited toward future trips. 
  • 25–44 days before departure: 40–50% of total trip cost retained. 
  • 1–24 days before departure: 60–70% of total trip cost retained. 
  • Once the trip has commenced: No refunds for unused services or portions of the trip.
    Note: We highly recommend comprehensive travel insurance to protect against unforeseen cancellations or emergencies. 

3. Documentation Requirements 

Clients must provide: 

  • Passport-sized photograph 
  • Copy of passport 
  • Completed forms for trekking or mountaineering permits 
  • For peaks above 7,000 meters, clients must submit information about prior high-altitude experience and mountaineering activities.
  • Failure to provide required documentation may result in denied participation or additional fees, and the company is not responsible for related issues. 

4. Insurance and Risk Management 

  • Comprehensive travel insurance is mandatory, covering medical treatment, evacuation, search and rescue, and personal accidents. 
  • Clients are responsible for ensuring their insurance includes high-altitude coverage, helicopter evacuation, and trip cancellation. 
  • Summit Solution will coordinate emergency responses and liaise with rescue services but is not liable for costs not covered by the client’s insurance. 
  • Clients acknowledge that air evacuation may not always be immediately available due to terrain or weather conditions. 

5. Incomplete or Interrupted Trips 

  • Clients unable to complete trips due to personal reasons (illness, injury, etc.) are not entitled to refunds. 
  • Government or local authority restrictions, natural disasters, or permit revocations may also prevent trip completion, for which no compensation will be provided. 

6. Client Compliance and Authority 

  • Clients must adhere to local laws, regulations, and customs. Summit Solution is not responsible for legal consequences arising from illegal actions by clients. 
  • Guides and team leaders hold final authority in all trekking and expedition decisions, prioritizing safety and well-being. Clients must follow instructions to ensure safe operations. 

7. Itinerary Modifications and Additional Costs 

  • Customized itinerary modifications may be requested, subject to additional time and costs agreed upon at the time of booking. 
  • Changes due to weather, natural events, or unforeseen circumstances may require itinerary adjustments, handled in consultation with the client. 
  • Additional services requested by the client beyond the original agreement may incur extra charges. 

8. Early Completion or Termination 

  • If a trip concludes earlier than scheduled, no refunds will be provided for unused days. 
  • Clients terminating a trip early due to personal emergencies may incur additional logistical charges, including porter return and resource management. 

9. Non-Transferability of Services 

  • All bookings are non-transferable. Services including accommodations, flights, permits, and guiding cannot be reassigned to another individual. 

10. Flight Delays and Cancellations 

  • Summit Solution is not liable for flight cancellations or delays beyond our control. 
  • The company may assist with accommodations for delays caused by company-related issues, with associated costs covered by us. 

11. Accommodation and Meals 

  • Clients are responsible for extra accommodation or meal costs arising from personal delays, unless caused by the company. 
  • Meals are prepared according to available facilities; clients should follow guide recommendations to ensure safety and quality. 

12. Equipment and Gear 

  • Any company-provided equipment must be returned in good condition. 
  • Clients are liable for loss or damage to provided gear at rates determined by Summit Solution. 

13. Children and Minors 

  • Mountaineering peaks are restricted for individuals under 16 years of age, per Nepalese law. 
  • Trekking is allowed for minors when accompanied by a legal guardian. 

14. Extra Activities 

  • Clients planning additional activities (paragliding, skiing, drone usage, flag displays, etc.) must inform Summit Solution prior to the trip. 
  • Additional government fees or permits for such activities are the client’s responsibility. 

15. Publicity 

  • Summit Solution may request client consent to use photos or videos for marketing and promotional purposes. 
  • Client privacy is strictly respected, and all materials are used responsibly. 

16. Agreement of Services 

  • Clients understand that trekking and mountaineering are physically demanding and may not offer modern conveniences. 
  • Summit Solution strives to provide the highest quality service, but unforeseen circumstances may affect service delivery. Client flexibility is appreciated.
